Privacy Notice

Last updated 26 October 2026

Aegis Spaces is run by Michael Smurthwaite-Cairns, an individual based in the United Kingdom, who is the data controller for your personal data. Contact: support@aegisspaces.co.uk. We never sell your data and never show ads.

Data we collect and why

  • Account details (email, password, name, optional photo link) — to create and run your account. Legal basis: contract.
  • Location, speed and battery level — only while you turn on sharing, shown to members of your spaces. Ghost Mode blurs your location to about 1 km. Legal basis: contract and your consent, which you can withdraw by pausing sharing.
  • Spaces, places, check-ins, arrival/departure logs and SOS alerts — to provide the features you use. Legal basis: contract.
  • Technical data (IP address, device and browser info, error logs) — for security, fraud prevention and fixing problems. Legal basis: legitimate interests.
  • Support messages — to help you. Legal basis: legitimate interests.

Who we share it with

  • Members of spaces you join, as described above.
  • Service providers who host and run the app (hosting, database and email delivery), under contract.
  • Paddle, our Merchant of Record, for selling subscriptions, managing billing, payments, tax compliance and invoicing.
  • Professional advisers (legal, accounting) where needed.
  • Authorities, where the law requires it.

International transfers

Some providers may process data outside the UK. Where they do, we rely on adequacy decisions or standard contractual clauses to protect it.

How long we keep it

Paused sharing clears your live coordinates. Activity history is kept for your plan's history period (7 days on Free). Account data is kept while your account is open and deleted or anonymised within 30 days of you deleting it, unless the law requires us to keep it longer.

Your rights

Under UK GDPR you can access, correct, delete, restrict or object to use of your data, ask for a portable copy, and withdraw consent at any time. Email us and we'll reply within one month. You can also complain to the Information Commissioner's Office (ico.org.uk).

Security

We use encryption in transit, strict access controls so only members of a space can see its data, and reduced precision for Ghost Mode.

Cookies

We only use essential storage needed to keep you signed in and remember your settings (such as dark mode and alerts). We do not use analytics or advertising cookies.
